For Art Logistics Companies
Warehouse Management Built for Art Logistics
Purpose-built WMS for art storage facilities, 3PLs, crating companies, and art shippers. Track every artwork, manage projects, and deliver professional documentation to your clients.
Your work does not stop at the warehouse door. ArtWMS keeps the artwork, the people handling it, the services performed, and the resulting charges connected as plans change.
Operations Control
Keep artwork identities, crate relationships, warehouse locations, and movement history connected from intake through release. RFID and QR workflows help field staff work with the correct operational record beside the object.
For an operations director, that means fewer mysteries when a client calls or a truck is loading. Warehouse audits compare what is recorded with what crews physically scan, giving managers a clear place to investigate exceptions before dispatch.
- Persistent item and crate records with RFID and QR identification
- Structured warehouse locations down to configured rack, shelf, bin, or staging areas
- Recorded movement history with user, time, action, and location context
- Artwork-to-crate relationships that keep digital and physical packing records aligned
- Warehouse audits that help reconcile recorded and physical inventory
Project Workflows
Organize operational projects as jobs containing work orders, inventory, documents, and invoices. Each work order can carry its required date, addresses, contacts, instructions, assigned inventory, carrier references, and related files.
A single project may involve collection, packing, transport, installation, storage, and a return. Keeping that work together helps coordinators plan the next handoff while warehouse and field staff use the same job context.
- Collection, delivery, handling, packing, return, and configured work-order types
- Required dates, shipper or consignee details, instructions, and internal notes
- Truck, personnel, and special-instruction details recorded on transportation manifests
- Collection and delivery work orders grouped into dated transportation manifests
Crating & Handling
Connect packing activity to the correct artworks and jobs. Crate records can include type, measurements, weight, packer, seal number, location, photographs, notes, documents, and the items packed inside.
At an exhibition, a crate may leave the venue for temporary storage and return when the show closes. Linked artwork and crate records help the team manage that change of location and prepare the next move without reconstructing the packing history from paper.
- Crate specifications, location, images, notes, documents, and recorded contents
- Configured materials inventory with quantity and reorder information
- Build and handling documentation attached to the relevant operational record
- Existing crate records and history available for trained reuse decisions
Client Reporting
Prepare operational documents from the same records used to carry out the work. Condition reports, labels, manifests, invoices, and finalized work-order documents remain connected to the relevant item or project.
Approved gallery contacts and artists can use MFA-protected, account-scoped access to review their inventory and artwork photos, then request a condition report or delivery. Staff review and coordinate those requests before scheduling. Billing teams can create invoices in ArtWMS and sync invoicing to QuickBooks or Xero, with CSV export available when needed.
- Digital condition reports with photographs, annotations, and PDF output
- Item, crate, location, work-order, manifest, and invoice documents where configured
- Photographs and supporting files attached to the item, work order, or job they describe
- Standard and free-form invoices with services, custom charges, PDFs, and controlled export
- Read-only customer access by default, with broader account permissions when authorized
